Project management and client communication
Teamwork.com
I keep emails and phone calls to a minimum: all management goes through software with task lists and kanban boards. There are many, but my favorites are Teamwork.com, ClickUp and Asana. Often it's not the client accessing my systems: I access theirs, so the history stays with them.
Hours / days budget planning
Once the monthly budget of hours/days is agreed, work is planned on a weekly or monthly basis. Depending on the type of activity, recap meetings or calls are organized (video calls preferred).
Monthly hour reports
With project management tools it's easy to produce a report of the hours worked with actual details. Very often the report is real-time and the client checks it on their own.
Development and deployment method
Agile
I find Agile a leaner way to handle client requests and ship changes quickly. Estimating in hours/days, starting the work and giving feedback along the way is much faster — and clearer for the client — than a long requirements → quote → approval → deadline cycle.
TDD / BDD
In backend development, automated tests and Test Driven Development / Behaviour Driven Development techniques have become a necessity for me: expecting code to keep working over time without tests is not realistic, especially if it keeps evolving.
Pipeline / CI-CD
Changes go to production through an automated deployment system (pipeline): before release, tests verify that everything is correct. Some hours and days are off-limits — for example after 7 PM or on Friday evenings — so it's always possible to step in if problems arise.
